Call for Volunteers: Parade Lineup Coordinators Needed for July 4, 2025 and Beyond!
Avoca Main Street would like to thank Agriland FS for their OVER THIRTY YEARS of coordination of our annual 4th of July Parade lineup! Ginny Lamp and her team have perfected a system to keep over a hundred parade vehicles, animals, and humans (the most difficult to corral of all) organized and safe. They are ready to pass on the reins to another group!
We are looking for around five folks to form a new Parade Lineup Team. You'll report to our 4th of July Events Coordinator, Linda Schumacher, and training will be provided. Lineup starts at noon on July 4th and ends when the parade starts at 2 p.m.
Here are some duties that parade lineup coordinators typically handle:
Communication: Maintain clear and consistent communication with all participants, including marching bands, floats, performers, and any other groups involved. Provide them with instructions regarding lineup times, locations, and any special requirements.
Schedule: Include times for arrival, check-in, lineup formation, and the start of the parade.
Mapping and Layout: Designate specific staging areas for each group or float. Ensure that the layout allows for smooth transitions from lineup to the parade route. Consider factors like space, access points, and ease of movement.
Assignments and Positions: Assign each participant or group their position in the lineup. This might be based on their size, theme, or performance needs. Clearly mark these positions with number signage on the day of the parade.
Safety and Logistics: Coordinate with City of Avoca and 4th of July Events Coordinator to address safety concerns and ensure barricades are appropriately placed. Ensure that emergency exits are clear, and participants know who to contact in case of any issues or emergencies.
On-site Coordination: Be present on the day of the parade to register and number floats and oversee the lineup process. Help participants find their designated spots, resolve any conflicts or issues that arise, and ensure everyone is ready on time. Get float descriptions to Parade Announcer before 2 p.m.
Facilitate Movement: Manage the flow of participants from the lineup area onto the parade route. Work to maintain a steady pace and avoid congestion.
Emergency Preparedness: Have contingency plans in place for unexpected situations, such as bad weather or last-minute cancellations. Ensure participants are aware of these plans and how they will be communicated.
Post-Parade Feedback: After the parade, gather feedback from participants to evaluate what went well and where improvements can be made for future events. This helps refine the coordination process for next time.
